The Mammoth Art Walk is committed to creating a professional, welcoming, and visually cohesive event experience for artists, attendees, sponsors, and community partners.

These policies and guidelines are intended to help ensure the event operates smoothly while creating a positive environment for everyone involved.

All participating artists are expected to carefully review and follow the policies outlined below prior to the event.

APPLICATION + EVENT INFORMATION

  • Participating artists are expected to contribute to the overall professionalism, atmosphere, and quality of the Mammoth Art Walk.

    Artists should maintain:

    • Professional and respectful conduct

    • A clean and organized booth presentation

    • Artwork and displays consistent with their application materials

    • A welcoming environment for attendees and neighboring artists

    The Mammoth Art Walk reserves the right to remove any participant whose behavior, display, or products are determined to negatively impact the event experience.

  • Because the Mammoth Art Walk is a curated and visually cohesive event, booth presentation matters.

    Artists are encouraged to create displays that feel professional, inviting, and visually aligned with the elevated atmosphere of the event.

    Booth Expectations Include

    • Clean and organized displays

    • Professional signage and presentation materials

    • Secure tents, weights, and display structures

    • No excessive clutter or storage visible to attendees

    • Artwork displayed safely and appropriately

    • Respectful sound levels and lighting

    The event team may request reasonable adjustments to displays that negatively impact neighboring booths or the overall event presentation.

  • Artists will have two booth setup options available:

    Option 1 — Village-Provided Tent

    The Village at Mammoth can provide:

    • Pop-up tent

    • Tent weights

    This option is intended to help create a visually consistent event presentation throughout the venue.

    Option 2 — Artist-Provided Tent

    Artists may also provide their own:

    • Pop-up tent

    • Tent weights

  • Setup = Thursday Evening

    Artists will receive detailed load-in instructions prior to the event, including:

    • Assigned setup windows

    • Vehicle access procedures

    • Parking information

    • Booth location details

    • Event check-in information

    Artists are expected to arrive during their designated setup time and complete setup before the event opens to attendees.

    Breakdown = Saturday Evening

    Early breakdown is strongly discouraged and may impact eligibility for future events.

    Artists are expected to remain fully operational throughout all posted event hours unless otherwise approved by event management.

    All booth materials, trash, and personal items must be removed from the event site at the conclusion of the event.

  • The Mammoth Art Walk takes place in the Eastern Sierra mountain environment, where weather conditions can change quickly.

    Artists are responsible for preparing for:

    • Wind

    • Sun exposure

    • Afternoon weather changes

    • Temperature fluctuations

    • Light rain or mountain conditions

    Required Booth Safety

    All tents and booth structures must be properly secured using adequate weights (40 pounds per tent leg) and stabilization equipment.

    For safety reasons, event management may require adjustments to booth structures during changing weather conditions.

  • Artists are responsible for managing their own:

    • Sales transactions

    • Payment systems

    • Sales tax compliance

    • Inventory management

    • Customer interactions

    Artists are encouraged to prepare for a variety of payment methods, including credit card and mobile payment options.

    The Mammoth Art Walk is not responsible for lost sales, technical payment issues, or individual vendor transactions.

  • The approved artist or representative listed on the application must be present during the event.

    Subletting, sharing, or transferring booth spaces without prior approval from event management is not permitted.

    Artists are expected to maintain active and engaged participation throughout the event weekend.

  • The Mammoth Art Walk reserves the right to prohibit items, displays, or behavior deemed inappropriate for the event environment.

    This may include:

    • Mass-produced or non-approved merchandise

    • Offensive or discriminatory material

    • Unsafe booth structures or displays

    • Excessive noise disruptions

    • Behavior negatively impacting attendees, artists, or staff

    Event management decisions regarding event operations and participation are final.

  • Participating artists are responsible for their own:

    • Artwork

    • Booth structures

    • Inventory

    • Equipment

    • Personal belongings

    The Mammoth Art Walk, event organizers, venue partners, and affiliated organizations are not responsible for loss, theft, damage, injury, or weather-related impacts.

    Artists are encouraged to carry appropriate business or liability insurance coverage if applicable to their operations.

  • By participating in the Mammoth Art Walk, artists acknowledge that photographs and video may be captured during the event for promotional and marketing purposes.

    These materials may be used in:

    • Social media promotion

    • Website content

    • Future event marketing

    • Press and media materials

    • Community outreach efforts

    Whenever possible, participating artists will be credited in promotional features highlighting their work.

EVENT COMMUNICATION

Important event updates and artist communication will primarily be distributed through email leading up to the event.

Artists are responsible for reviewing event communications and staying informed regarding schedules, logistics, and policy updates.

RULES + REGULATIONS

In order to secure your position in Mammoth Art Walk (“the event”) please review and accept the following terms and conditions. By completing an application to the Event, and in consideration of your participation in the event, you (“participant” or “you”) acknowledge and agree that you have reviewed and accept the following terms and conditions:

  • Participants display all works at their own risk. To the fullest extent permitted by law, the Participant shall defend, indemnify, and hold harmless Mammoth Lakes Recreation, its staff, volunteers, subcontractors, and other personnel (collectively the “Association”) from and against any and all claims, causes of action, demands, fines, penalties, costs, judgments or other losses, including reasonable attorney’s fees (“Claims”), including those (i) related to bodily injury and property damage that may arise from Participant’s participation in the Event to the extent that any Claims are attributed to any acts or omissions by Participant or anyone employed, contracted or under Participant’s direction, directly or indirectly by any of them or by anyone for whose acts any of them may be liable, (ii) related in any way to Participant’s merchandise or property, (iii) Participant’s violation of these terms and conditions, or (iv) Participant’s violation of any applicable law, ordinance, rule, regulation or other.

    Mammoth Lakes Recreation reserves the right to remove any Participant at its sole discretion without refund for violation of any Participant Contract regulations.

  • Absolutely no mass produced or manufactured work, buy/sell, workshop art, business with commercial representatives, dealers or manufacturers may exhibit. If the event committee suspects for any reason that an exhibiting Participant works outside the aforementioned rules in its sole discretion, the event committee will file an inquiry with the Participant and reserves the right to withdraw the Participant from future shows in its sole discretion.

    In the case of offset reproductions, the original juried work is preferred on site. All offset printed reproductions must be labeled as such with a clear definition of the reproduction process visibly displayed to the public.

    The event reserves the right to request that you remove any work that does not fall within these guidelines. You may only exhibit work that reflects the medium and category in which you were juried.

  • Exhibitor must have a current California resale number.

    Participants are responsible for collecting 7.75% Town of Mammoth Lakes sales tax.

  • Participants are required to clean up their booth space of all trash (micro and macro) and haul it to the Event Dumpster at the end of each day. Please help to protect our wildlife and pristine mountain community and do not leave trash next to the dumpsters. We appreciate your help in keeping the festival space clean.

    The event will not tolerate trash left behind. Any participant who leaves trash behind in their booth space will be charged a clean-up fee of $50.

  • If there is a medical emergency, please call 911 and then notify the Event Director. For minor cuts and bruises the Mammoth Lakes Recreation (MLR) Information Booth is equipped with a first aid kit. Lost children should be directed to the MLR Information Booth where volunteers will contact the Event Director.

  • Participant agrees that Mammoth Lakes Recreation (MLR) may photograph film and/or record Participant (including without limitation Participant’s name, likeness, artwork, products or other copyrightable material, Participant’s trade names, trademarks, any personal identifying information which the Association may gather, including without limitation, biographical or narrative information, voice, conversations and/or any sounds Participant makes (collectively, the “Participant Materials”), and MLR may edit, enhance, recreate and/or modify the Participant Materials and include the Participant Materials in any MLR materials, in any and all means and media, now known or hereafter devised and in all languages, throughout the universe in perpetuity.
